AI implementation & usage playbook

How we evaluate, deploy, and govern AI with your team.

A peak inside the playbook

These threads run through every phase and gate.

Bias & fairness

Identify sensitive attributes, test for disparate impact, add human review where needed, and document limits.

User experience

Clear affordances, confident/hedged responses where appropriate, seamless hand-offs to humans, and transparent limitations.

Accessibility

WCAG-aligned interaction patterns, alternative modalities (text/voice), readable content, keyboard navigation.

Governance

Data minimisation, purpose limitation, retention policies, model/version inventories, audit logs, and incident playbooks.

We maintain a catalog that speeds time-to-value while allowing targeted customization.

Customization boundaries

Prompt & policy tuning, retrieval sources, UI text, escalation rules, allowed actions. Swappable model providers, configurable latency/price trade offs.

Integration shape

APIs/webhooks first; SDKs where needed. SSO/OIDC; role-based permissions. Event logs to your observability stack.

Our typical 12-16 week path to a production-ready AI solution.

Weeks 0-3: Plan

Align on the use case, secure access, baseline metrics, and confirm the pilot scope.

Weeks 4-8: Implement & Test

Configure a pre-built component, connect systems, and run UAT with real users.

Weeks 9-12: Limited Production

Launch behind a feature flag to a defined user group, monitor live signals, and keep a human in the loop where needed.

Weeks 13-16: Harden & Expand

Add monitoring and guardrails, finalize access, and phase rollouts by team or region.

What you’ll see: Data-flow diagrams (client edition), DPIA/TRA support where applicable, third-party processor lists (on request), and an assurance letter summarizing controls.

Data classes

We classify inputs/outputs and restrict use accordingly. Sensitive data stays in tenant-scoped storage with least-privilege access.

Security posture

Encryption in transit and at rest. SSO role based access, audit trails, and environment isolation.

Privacy

No unauthorized model training on client data. Retention tied to business need; deletion upon request.

Compliance alignment

We work within your obligations (e.g., GDPR, HIPAA-adjacent workflows, SOC-aligned practices) and integrate with your SecOps reviews.

We anchor outcomes to baselines you recognise.

Example KPI menu

Handling time, first-contact resolution, deflection, backlog age. Quality signals: accuracy samples, citation coverage, human overrides. Cost signals: cost-per-interaction, manual costs vs infra spend.

How we measure

Baseline → pilot target → production threshold. Live dashboards; monthly and quarterly reviews. Continuous improvement backlog tied to metric deltas.

The guidance we deliver

What’s in scope:

Discovery and use-case selection, a time-boxed pilot, integration with your systems, enablement for day-to-day use, and ongoing monitoring after launch.

How we measure success:

Baselines and targets are set up front (for example, handling time, conversion, research cycle time) with an agreed reporting cadence, so progress stays visible and decisions remain grounded in facts.

How the technology works:

Tenjumps assembles proven, pre-built components—assistants, parsers, knowledge chat, research copilots—and connects them to your systems and data. Your role is to provide access to people and data, contribute subject-matter input, and make decisions at phase gates.

How We Engage:

Discovery Pilot Scale

Discovery & readiness

Artifacts: Opportunity map, risk register, success metrics, go/no-go gate.

Stakeholder interviews across ops, legal/compliance, IT, and front-line teams.

Process mapping to find friction and quantify =value.

Readiness check: data availability, tool stack, change appetite.

Pilot

Artifacts: Pilot plan, test scenarios, acceptance criteria, training micro-guides.

Configure a pre-built component or light customization.

Connect to sandboxes or narrow production slices.

Run UAT with real users; collect qualitative and quantitative feedback.

Harden & scale

Artifacts: Launch checklist, rollback plan, dashboards, enablement kit.

Expand integrations (CRM, WMS, ticketing, knowledge bases).

Add monitoring, alerting, drift detection, and access controls.

Phase rollouts region by region, team by team.

People, cadence, support

A repeatable path that keeps risk contained and momentum visible.

Roles you’ll meet

  • Engagement lead. Single point of contact.

  • Engineering. Integrations, reliability, observability.

  • Data/ML specialist. Retrieval, evaluation, safety.

  • Compliance partner. Coordinates risk reviews with your team.

Cadence

  • Weekly working session during pilot, bi-weekly stakeholder updates, written status each Friday.

  • Decision reviews at each phase gate.

Enablement & support

  • Short how-tos, office hours, and “champion” training inside your team.

  • Support channels: shared Slack/Teams, ticketing for changes, on-call coverage by agreement.
